How to establish and perfect enterprise training files
For training, it is essential to summarize and self-evaluate the training work throughout the year. At present, when many people can't use 6SIGMA to evaluate the return on training investment, some training data play a great role in the work summary. Through the summary and analysis of the training records, leaders should still know fairly well: although it is impossible to know clearly how much profit the training has brought, there is no doubt that the company will be worse without training.

For the daily work of training file construction, we can start from the following aspects:

1, annual training course record statistics

Design an EXCEL table to collect the statistical data of the courses studied throughout the year. Specific items can include: sequence, training category, training course name, training time, training place, course hours, organizers, lecturers, trainees, participants, actual attendance, training expenses, per capita training expenses, evaluation methods, training satisfaction, total hours and remarks. As shown in the figure below:

After this form is established, the key is to fill in and update it in time in daily life, and input the corresponding information of the course into this form after each course. Remember, it's all training, including free training and temporary learning sessions.

2. Individual course information package

A single course package means that each course should file all forms and materials according to the training operation process and save them by course. For each course, the materials to be archived for internal courses include:

A. Training application form (internal training needs to be approved, and training costs) and training course plan (attached to the application form for leaders' reference and evaluation, including course reasons and objectives, time, place and object of course elements, lecturer introduction, course effect evaluation method, training costs, etc. );

B notice of class commencement: after approval, a notice of class commencement will be issued, clearly listing all training elements. If necessary, a specific list of trainees can be made according to the trainees, corresponding to each other. You can also make an invitation letter for the lecturer to show your respect for the lecturer.

C. Training sign-in form: the list of students who cooperate with the notice of class opening corresponds to sign-in one by one;

D. Course textbooks and handouts: including paper version, electronic version and other materials related to the course, such as cases, discussions, tables, etc. ;

E. Training evaluation form or experience report: after the training, conduct the effect evaluation and file the evaluation data submitted by the trainees;

F. Training summary report: After the training, the training course should be summarized, including attendance, student satisfaction, student feedback, problems existing in the training and improvement measures. You can also send a thank-you letter from the lecturer to express your gratitude to the lecturer and feedback the training results.

These things are filed in the file bag, which is a relatively complete single course data packet, and all the materials are relatively complete.

Materials to be archived for foreign training courses include:

Application form for foreign training and course information (course materials of external institutions), training handouts, training evaluation forms and experience reports.

3, employee personal training files

Establish training records for each employee. Through this record, you can quickly get what training courses employees participated in, how many training hours they participated in, how much training expenses they spent, and what the evaluation results were after each training. These data will be very useful when you need to know the learning situation of employees, especially when you are promoted, assessed, transferred or transferred.

Without the support of IT system, you can use EXCEL to establish every training record of every employee, and then import EXCEL into the ACCESS database. Using the report function in the ACCESS database, the line-by-line information in the EXCEL table can be converted into a page through the report function, which is convenient for printing and overall browsing. IT would be more convenient if there is an IT system.

4. Other documents

Other documents include:

A. Internal lecturer database: copy the basic information of employees who are internal lecturers, and then add some information of internal lecturers, such as time, level, courses offered, number of lectures and class hours.

B. Training supplier database: including training company name, company nature, key/advantageous business areas, address, contact person/contact information, supplier description (whether there has been cooperation, how to evaluate and what special needs are required) and supplier qualification (manage suppliers of different levels according to your needs, and give priority to contacting suppliers with high qualification level if necessary).

C. course library:

According to the company's training course system, establish a folder according to the system classification, and package the training courseware and materials for the whole year into the folder to gradually enrich your course system. Because these courses have been taken, they are more practical. Therefore, instead of putting some related courseware in, it must be related to your company, or you have participated in it yourself or invited people to participate. You can mark the version number when modifying the course in the future.

After the training file is established, you can randomly select a course according to the courses in your annual training plan, and check whether you have application for starting a course, notice of starting a course, sign-in information, teaching plan and evaluation information, and randomly select an employee to see whether he has passed the training records such as induction training and evaluation information, so that you can make a summary and evaluation.
