Geological science and technology archives are one of the important contents of national archives and geological achievements management of geological prospecting units. Geological scientific and technological archives refer to scientific and technological archives formed in geological exploration, geological scientific research and other activities. The management of geological science and technology archives (hereinafter referred to as geological data) directly affects the economic lifeline of the survival and development of geological prospecting units. With the development of market economy, the utilization value of geological data is increasing. Geological data with commercial secrets are the core and essence of archives of geological prospecting units and the focus of archives preservation.

1 Keep the geological data confidential.

1. 1 management and confidentiality of top secret geological data

Top-secret geological data are the core secrets of geological prospecting units, and must be well managed.

(1) Top secret geological data and non-top secret geological data are kept separately. Set up safes, safety locks, burglar alarms and other related equipment to ensure the safety of top-secret geological data from the hardware.

(2) improve the quality of top secret geological data management personnel. Due to the special status of top-secret geological data managers, they have the characteristics of knowing secrets early, knowing more secrets and knowing more secrets, and they are more responsible for keeping corporate secrets. There are three main reasons for the change: first, the change in the scope of confidentiality. Second, the role of confidential documents has changed. For example, the original guiding role of classified documents is no longer suitable for the current work and has lost its guiding role. Therefore, the filing unit abolished such documents, and the classification was naturally lifted. Third, the time limit for confidentiality has changed. Previously, the classified documents of geological data were only marked with classification, and there was no confidentiality period, and most of them were overdue. For example, most of the top secret documents in 1950s and 1960s need to be decrypted according to the requirements of the secrecy law, which not only reflects the lack of secrecy in history, but also illustrates the urgency of decryption and control of geological data. Therefore, we should master the classification standard according to the changes of geological data classification content to prevent the classification from being too high or too low and the classification period from being too long or too short.

1.4 Do a good job in classification and adjustment of geological data.

In the past, classified and unclassified documents were often kept and provided in mixed volumes, which caused the danger that secrets might spread at any time. Therefore, the method of subsection management can be adopted, including: in the future, general file retrieval only provides the retrieved content, and does not provide the original volume containing confidential documents; When supplying volumes to the outside world, measures such as sealing confidential documents unrelated to geological data investigation should be taken to store confidential documents, especially top-secret documents, in a single box, so as to completely solve the problem of mixed volumes of confidential and non-confidential documents, plug the loopholes of confidentiality diffusion caused by mixed volumes in the process of supply and utilization, and solve the problem of scattered and centralized confidential geological data files in the future, which is inconvenient to adjust; In the geological data of the filing unit, catalogues, cards and machine-readable catalogues are compiled according to the classification of documents, and statistical ledgers and storage location indexes of confidential documents are established to create conditions for scientific management, accurate mastery and effective confidentiality.

2. Do a good job of confidentiality in the process of geological data utilization.

2. 1 Do a good job of supervision in the utilization of geological data.

Supervision of geological data utilization is an important measure to do a good job of confidentiality in the process of geological data utilization. It can effectively find and stop all kinds of bad behaviors that are not conducive to the confidentiality of geological data in the process of using geological data, so as to use geological data to ensure the integrity and safety of geological data. Specifically, the supervision of the use of geological data can be implemented from the following aspects:

(1) system construction. The rules and regulations of geological data utilization generally include reading system, borrowing system and copying system. Of course, the use must be kept confidential, and unlimited use will do harm to the security and interests of the party and the country. Therefore, confidentiality and utilization are very important and must not be biased.

3. Protection of geological data in the process of production and reproduction

With the rapid development of electronic information, the formation of geological science and technology documents and the replication of geological data have gradually entered the electronic stage, especially the protection of geological data replication is particularly important.

3. 1 Prevent leakage in the copying process

Every geological project can not be separated from the establishment, design and reproduction of the results report, and all the data are processed electronically from the computer. If corresponding measures and systems are not taken, information will be easily lost and leaked from this stage. There are two reasons: first, the disclosure involves the basic quality and confidentiality awareness of computer staff. If there is no system and measures to restrain the staff, it is likely to leak information at any time, intentionally or unintentionally; Secondly, the protection of electronic file information is also facing an invisible killer that can not be ignored-computer virus. A computer virus is a program that can infect other programs by modifying them and embedding its own copy. In this way, the information of electronic documents is in danger of being modified, stolen or even destroyed at any time. Therefore, how to protect the electronic file information of geological data from being destroyed and successfully complete the accurate reproduction of various engineering achievements is a problem that cannot be ignored by local exploration units. Specifically, how to prevent the leakage of electronic geological data in the process of copying and processing is a difficult and key point in the current geological data management.

3.2 Disposal of scrapped maps during copying

Individual units often use the method of shredding-bagging-selling as waste to deal with the scrapped drawings in the computer room. This kind of treatment is very irregular from the perspective of file confidentiality, and there is a great possibility of leakage. In my opinion, abandoned maps should be classified, and the classified maps should be taken seriously, and designated personnel should be responsible for them and destroyed under the supervision of special personnel. A small amount can be burned, and if a large amount can be broken into paper scraps with a shredder, it can be sold to ensure information security.

3.3 The popularity of automated office facilities has brought new problems to the safety work.

All geological project teams are equipped with computers. At present, all kinds of geological data of finished products or semi-finished products are stored in the computer of each project leader, which invisibly brings difficulties to unified management of geological data and prevention of data leakage. There is also the connection of the network, which increases the probability of data leakage. If the data owner does not have a good basic quality, there is a great possibility of data leakage. For example, in recent years, before the geological data compiled for a company was formally submitted to the company, it was found that another company had completely owned the data (including the electronic version), which led to contract disputes. Things like this happen for many reasons. It is suggested that all classified computers be physically isolated from the network, and relevant contents should be backed up in time to prevent accidents. Of course, the rapid popularization of electronic technology and the rapid development of network technology provide a huge space for data transmission, and also bring confusion, difficulties and new tasks to the confidentiality of geological data. Therefore, the emphasis and difficulty of geological data confidentiality have changed, and it is not comprehensive to rely solely on the confidential information in the reference room.

In a word, the secrecy of geological data is an important issue that geological prospecting units can't ignore. To a certain extent, the importance attached by unit leaders to archives and the confidentiality awareness of all employees are directly related to the quality of archives confidentiality. It is an urgent and arduous task for us to constantly improve the file management system and prevent the loss and leakage of geological files.
