Candidates' personal files will all be handed over to the archives of Huaiyuan County Education and Sports Bureau to keep candidates' files, including electronic files and paper files. Electronic archives are the main basis for colleges and universities to enroll new students. Candidates' electronic files mainly include candidates' basic information, ideological and political moral assessment results, high school academic level test scores and materials reflecting students' comprehensive quality, physical examination information, volunteer information, college entrance examination score information, and candidates' college entrance examination integrity records (mainly referring to the brief facts and handling results of violations during the college entrance examination). Candidates' electronic files must be consistent with the contents of the corresponding parts of candidates' paper media materials. Once the electronic file is established, no one may change it without authorization.

The filing of candidates' paper files is organized by all districts and cities (Education Examinations Institute), and centralized filing is organized by all counties (cities, districts). After the admission, the Provincial Education Examinations Institute will distribute the admission list to the counties (cities, districts) where the candidates are located. Candidates' paper files must be set up by the county (city, district) Zhaoban, sealed with sealing strips and stamped with the seal of riding seam, and kept by the county (city, district) Zhaoban or entrusted to register.
